Nexility – Refund Policy

📄 1. Overview

Nexility LLC (“Nexility,” “we,” “our”) is committed to delivering high-quality, fully branded AI chatbot and automation services tailored to each client’s specific business needs.

Due to the customized and digital nature of our services, we follow a strict refund policy designed to prevent misuse while remaining fair to genuine clients.


🧾 2. Setup Fees – Non-Refundable

All one-time Setup Fees are non-refundable, under all circumstances.
These fees cover:

  • Initial consultation and onboarding

  • Customized chatbot and automation design

  • API integration setup

  • Time, tools, and third-party resources deployed during the setup

Work begins immediately after payment, and significant effort is invested upfront — therefore, refunds are not issued once the setup fee is charged.


📅 3. Subscription Fees – Partial Refund Only in Rare Cases

Monthly Subscription Fees may only be eligible for a partial refund if:

  • The client cancels within the first 7 days of a paid subscription AND

  • Has not used more than 30 chatbot conversations OR

  • There was a service outage of more than 48 consecutive hours due to a fault on Nexility’s end

Refunds will be calculated based on actual usage, setup cost, and resources consumed.

Nexility reserves the right to decline a refund if:

  • The project was completed as per scope

  • The client delayed feedback or failed to provide necessary inputs

  • API consumption or third-party costs were already incurred


🧪 4. Free Trial Terms

Clients are encouraged to test services through our 14-day free trial.
This trial allows you to explore key features before committing to a paid plan.

If you’re unsure — we strongly recommend completing the free trial first.


❌ 5. Non-Refundable Situations

Refunds will not be issued in the following cases:

  • Change of mind or switching to another provider

  • Failure to use the system after delivery

  • Delay caused by client’s unresponsiveness or missed onboarding steps

  • Expectation of features that were not part of agreed scope

  • Claims made beyond 7 calendar days after payment

  • Abuse, misuse, or violation of Nexility’s Terms and Conditions


🔁 6. Refund Request Process

To request a refund under eligible conditions:

  1. Send an email to billing@nexilityai.com within 7 calendar days of your payment

  2. Include your full name, business name, and reason for request

  3. Our team will review your case within 5 business days

  4. If approved, refunds will be issued to the original payment method within 10 business days


📌 7. Chargebacks & Dispute Handling

Initiating a chargeback or payment dispute without contacting Nexility first may result in:

  • Suspension of services

  • Loss of access to chatbot configurations and integrations

  • Permanent termination of client account

We encourage you to contact us first to resolve any billing issue amicably.


🧾 8. Tax & Processing Fees

Refunds (if any) will be issued excluding any applicable transaction fees, taxes, or currency conversion charges that are outside Nexility’s control.


📢 9. Changes to This Policy

We may revise this Refund Policy at any time without prior notice. Updates will be posted here with a new “Last Updated” date.

Continued use of services after a policy update constitutes your acceptance of the new terms.
